Training Bookings Terms & Conditions
(Group and individual bookings on open access courses)
Leeds Mind is an independently registered charity affiliated with the Mind group. As a charity, we offer competitive rates for training, and any surplus we make goes back into supporting our key services.
Booking process
A completed booking form is required. Your booking is not confirmed until we acknowledge receipt.
Payment
Group Bookings:
An invoice will be issued upon receipt of the booking form. Full payment is required at least 5 working days before training delivery.
Individual Bookings:
Full payment is required at the time of the booking.
Note: Leeds Mind is not VAT registered, so fees are not subject to VAT.
Training delivery
Group Bookings:
- Maximum delegate numbers will be advised upon booking.
- Trainers require access to the training room 30 minutes before the session starts.
- Further details and joining instructions are sent 1-2 weeks prior to the course.
- Delivery outside Leeds may incur additional expenses (e.g., travel, accommodation).
Individual Bookings:
Further details and joining instructions are sent 1-2 weeks prior to the course.
Cancellations
If you need to cancel your training please contact us in writing at training@leedsmind.org.uk
Please note: *working days exclude weekends and bank holidays and the notice period does not include the day of cancellation or the date of the training.

If Leeds Mind cancels the training, a full refund will be issued. Refunds, where applicable, will be issued via the same method of payment originally used.
Transfers between open access courses
We understand that sometimes plans change. If you are unable to attend your individual place on an open access course, you may request a transfer to an alternative date or course, subject to availability.
• Transfer requests must be made in writing to training@leedsmind.org.uk at least 10 working days before the original course date.
• A £25 administration fee will apply for each transfer.
• Transfers requested with less than 10 working days’ notice may be treated as a cancellation and subject to the standard cancellation charges.
• Only one transfer per booking is permitted. Further changes will be treated as cancellations or an additional admin fee charged.
• If the alternative course is of higher value, the difference in cost must be paid before attending.
Latecomers and attendance
Delegates arriving late or missing part of a session may be refused entry if insufficient time remains to gain the required knowledge, or catching up would disrupt the group learning.
No refunds will be issued in such cases.
For accredited courses, like Mental Health First Aid, full attendance is mandatory.
Accessibility and Reasonable Adjustments
Leeds Mind is committed to ensuring our training is accessible to all. If you (or those you are booking for) have any accessibility requirements or need reasonable adjustments to participate fully in our training, please let us know at the time of booking or contact us in advance. We will do our best to meet your needs.
Adverse weather conditions
If weather conditions affect attendance or safety, Leeds Mind may:
- Cancel the course
- Deliver it virtually
- Adjust start/finish times
If cancelled, the course will be rescheduled or refunded.
Data handling and privacy
Leeds Mind will retain your contact details to manage your booking and inform you of future training opportunities.
